We are looking for an experienced Business Support Services Manager to lead the BSS team across the DACH region (Germany, Austria, Switzerland), encompassing 22 offices and a diverse team of approximately 10 professionals. Job Purpose
The Business Support Services Manager ensures comprehensive support for facilities management, administrative operations, and resource optimization across the DACH region. This role involves strategic planning for capacity and space requirements, maintaining governance standards, and delivering impactful results in alignment with organizational goals.
Key Accountabilities
- Facilities Management:
Oversee the stewardship of lease contracts, ensuring timely renewals or optimizations, and forecast renovation projects to align with business needs. - Space Optimization:
Analyze and optimize space usage across 22 offices to enhance efficiency while aligning with organizational priorities. - Car Fleet Management:
Oversee the management of car fleets, including contract negotiations, policy implementation, and alignment with cost-saving objectives. - Governance Standards:
Develop and maintain governance standards for operational activities, ensuring compliance and alignment with organizational goals. - Vendor Management & Procurement:
Handle procurement and vendor contracts to ensure cost-effectiveness and quality services. - Health & Safety:
Ensure compliance with all health and safety regulations across the DACH region. - Team Leadership:
Lead and inspire a diverse team across multiple locations, fostering development and high performance. - Mobility:
Be open to occasional travel within the DACH region, if needed, to address site-specific requirements and foster collaboration.
Key Performance Indicators (KPIs)
The following KPIs reflect key focus areas and are subject to adjustment based on business needs:
- Employee Engagement: Maintain high levels of team satisfaction and engagement, as reflected in the Employee Engagement Survey (EES).
- Operational Efficiency: Drive initiatives to improve administrative and operational processes across the DACH region.
- Cost Optimization: Identify and implement opportunities to reduce costs across the BSS portfolio while maintaining quality standards.
- Stakeholder Collaboration: Strengthen relationships with internal and external stakeholders to enhance visibility and impact of the BSS function.
- Project Delivery: Ensure timely and effective completion of renovation, space optimization, and other infrastructure projects.
Skills and Requirements
- Education:
A university bachelor’s degree in business administration, management, or engineering (or equivalent qualification) is required. Additionally, a master’s degree or MBA will be considered an advantage. - Experience:
A minimum of 5 years of relevant experience, including managing diverse teams across multiple locations. - Languages:
Fluency in English (essential for business meetings and communications) and German (mandatory for regional operations and stakeholder engagement). - Technical Proficiency:
- Advanced proficiency in Microsoft Office and office management systems.
- Knowledge of automation tools, workflow management systems, and project management methodologies to streamline processes and enhance operational efficiency are a plus.
