Profile Logistics Coordinator

We are looking for a Logistics Coordinator to ensure seamless logistics operations for high-profile projects in the oil and gas sector.

Tasks & responsibilities:

  • Ensure timely delivery of logistics services, from operational preparedness to execution and closeout.
  • Manage day-to-day freight shipments and subcontractors (freight forwarders), ensuring compliance with company regulations and procedures.
  • Review and approve shipping documents to maintain accurate cargo status and documentation in company systems.
  • Execute logistics performance to meet project requirements, adhering to company procedures, customs and excise regulations, and trade compliance in all operational countries.
  • Stay updated on customs rules and regulations, including applicable VAT procedures, both domestically and abroad.
  • Communicate effectively with group and management teams regarding activities and cargo status projections.
  • Produce technical documents such as logistics plans, scopes of work, and reports as required by projects.
  • Initiate, prepare, coordinate, and participate in job site surveys and freight operations as needed, ensuring compliance with national and international regulations.
  • Advise project procurement team, material suppliers, carriers, and forwarding agents on documentation flow and operating procedures related to delivery terms and material movement.
  • Define/review modes of shipment, material description, and shipping terms to ensure correct rates and routes are used, coordinating with expediting for timely issuance of inception release copies and authorities for movements.
  • Review and approve subcontractor technical documentation, including risk assessment and method statements.
  • Manage subcontractors, including maintaining relationships, monitoring KPIs, ensuring compliance, managing insurance, approving invoices, and resolving disputes.
  • Provide information for transport insurance purposes and ensure all shipments are handled to maintain the validity of the insurance, including vessel assurance checks.

Requirements Logistics Coordinator

  • At least 5 years of experience in EPC project logistics, preferably within the oil and gas sector, with expertise in handling airfreight, ocean freight (containerised and breakbulk), and managing subcontractors like Freight Forwarders.
  • Proficiency in navigating import and export customs requirements within the oil and gas environment, including deliveries to and from fabrication yards operating under specific customs regimes (fabrication zones, free trade zones, etc.).
  • Strong understanding of INCO terms and associated rules.
  • Fluent in English, both verbally and in writing.
  • Relevant experience at an appropriate level in a similar role, with analytical skills and competence in using MS Word and Excel.
  • Self-motivated and administratively organised, with a flexible attitude and the ability to work independently.
  • Skilled in building relationships within teams and intercompany departments, with effective communication and reporting skills.
  • Ability to handle resistance and stress effectively, along with strong negotiation skills.
  • Demonstrated leadership as a team player with high ethical standards.
  • Experience in cargo shipping by air, sea, and road, including familiarity with delivery terms (INCOTERMS), transport conditions, packing, foreign transport, and transport/marine insurance.
  • Advanced knowledge of local customs procedures, coupled with cost-consciousness and legal awareness.
