Location: IB (International Baccalaureate®) Global Centre, The Hague – The Netherlands (Required)

About the Job

The Learning Project Specialist 12 Month Fixed-Term Contract is a newly created role to support the IB’s Digital Assessment Project.

The Digital Assessment Project is one of the IB’s key strategic transformation initiatives focused on transitioning the examinations of the Diploma Programme (DP) and Career-related Programme (CP) from paper based to digital format.

Reporting into the Professional Development Operations Manager, the Learning Project Specialist will collaborate with their immediate team to coordinate and monitor the development of our Professional Development products.

Key Responsibilities

  • Initiate projects: create and manage the Professional Development Teams’ folders and forum in Microsoft Teams, in addition to populating Sharepoint Library with development templates. Provide access to project team members. Create project plan documentation, contract requests and contracts for SMEs. Coordinate kick-off meetings with project team members. Accountability for the procurement of external vendors, establish a payment cycle and liaise with finance regarding invoicing and PO numbers.
  • Manage systems and communication: populate and maintain portfolio dashboard in Smartsheet to track product development for the team. Use Salesforce to monitor the portfolio budget plus track and raise payments. Use Moodle for document administration and support team members with systems issues (liaise with IT to troubleshoot).
  • Oversee completion and quality: set and monitor project milestones and deadlines. Create and monitor resource tracking sheet. Monitor and respond to copyright requests. Maintain spreadsheet with products to be sent to translation, coordinate translation of Professional Development products by the multilingual and Editorial (MEP) team. Deliver editorial comments to Learning Designers.

About You

  • Previous experience within a deadline-focused coordination role, ideally within a Project or similar Environment.
  • Demonstrable ability to navigate a variety of applications and software to include Microsoft Teams, Sharepoint, Salesforce (or similar systems), Microsoft Excel and Microsoft Publisher.
  • Excellent attention to detail and proof reading skills.
  • Experienced in coordinating with external vendors and maintaining records/a log of activity.
  • Experience of liaising with internal finance and procurement teams to ensure a smooth running of payment processing.
  • Excellent communications skills and resourceful approach: confident in using own network and resources.
