Sales and Office Administrator

Within the establish corporate policies and reporting to the Assistant Controller, in Finance, this position which is based in the Hague, Netherlands is responsible for the effective and efficient administration of the Netherlands office as well as supporting the company CRM, Salesforce. The Sales and Office Administrator will coordinate office and sales related and operations while providing administrative support to management and the Finance teams.
Duties/ Responsibilities:
Sales Admin Duties:
- Support the Sales, Marketing, Product, systems and finance teams with customized reporting and dashboards (in CRM)
- Work with the Systems and Sales teams to create and maintain integrations, reports and user/customer usage analytics and dashboards
- Support Sales with regular review meetings focused on pipeline and forecasting accuracy improvement
- Support the Sales team and the Management team with forecasting information
- Support Finance and Sales in payment automation reporting
Office Related Duties:
- Assist administrative and Finance staff with their assigned duties, particularly with important, time sensitive and Netherlands-based assistance is required
- Open and distributes mail, scanning, filing or forwarding are required
- Arrange and receive courier packages
- Process received cheques making deposits as required
- Oversee telephone services, email correspondence and mail distribution for Netherlands office
- Maintain organized and accurate records, documentation and files, particular more complex and sensitive files such as government, financial and customer-related documentation as per company requirements
- Communicate directly with government, financial and customers (in Dutch or English) as required to support business requirements, such as tax filings, etc.
- Translate Dutch documents into English for company colleagues to assist with communications and business processes and procedures
- Maintains office supplies inventory
- Other duties or special projects as assigned
Accounting/Finance Support:
- Act as support for Accounts receivable and collections via Salesforce
- Acts as a contact for vendors, maintaining positive working relationships
- Draft/create purchase orders, utilities, etc., for office related purchases, in accordance with company purchase request policy, follow up on outstanding orders
- Ensure maintenance of complete and accurate vendor files (in QuickBooks and hardcopy)
- Regular follow up with clients (internal or external), as required
- Contribute actively to improving and maintaining companies procedures and policies and training
Required Skills and Abilities:
To effectively perform the duties of a Sales and Office Administrator, the individual must be able to demonstrate a number of skills and competencies that are essential to be successful in the position. These include:
- Must be able to legally work within the Netherlands (status and documentation may be requested)
- Excellent verbal and written communication skills in both English and Dutch.
- 3+ years experience supporting Sales, Systems, Management and Finance with CRM (Salesforce experience strongly preferred) with data entry, data quality, CRM automation, etc.
- Minimum of 3 years experience in office management and accounting support, ideally in a software business
- Direct experience working within a Software company working in telecommunications, enterprise, education and government based industries.
- QuickBooks experience
- Experience with software sales, CRM and invoicing requirements
- Excellent organizational skills and attention to detail
- Clear understanding of Sales and Marketing related processes and cycles, including related tasks
- Excellent time management skills with a proven ability to meet deadlines for deliverables
- Strong ability to prioritize tasks and to collaborate on them
- Able to communicate collaboratively and professionally with individuals at all levels of the organization, Sales Managers, Executives, Senior Marketing, and CFO
- Computer literacy with Microsoft Office Suite, including advanced Excel skills
- Salesforce related certification is preferred but not required with strong related work experience
- Ability to function well in a high-paced and results-oriented environment
- Passion for data quality, delivering projects and task completions by deadlines to support sales and finance processes and to drive revenue
- Must be adept at problem-solving, identifying issues and implementing approved action items and solutions
- Must be able to effectively gather, read and interpret information, present numerical data in a numerical and professional manner
Education and Experience:
- Degree in business administration, accounting or diploma in office administration or related fields is strongly preferred
- At least 5 years of experience in office and sales admin/business administration experience within a Saas-based company is strongly preferred.
Working Conditions:
- Must be able work full-time within the Den Hague office on a daily basis
- Manual dexterity required to use laptop computer and related office and computer equipment
- Prolonged periods of sitting at a desk and working on a computer
- Regular interactions, largely through remote meetings with team members, government and tax authorities
